PAC Meeting Minutes - Sept. 2025

MINUTES WALTER LEE SEPTEMBER 2025 PAC MEETING 

September 24, 2025 @ 5:30 pm 

Meeting called to order by: KC 

Location: Walter Lee Library

Welcome and Introductions 

KC called the meeting to order at 5:35 pm, Land acknowledgment, and thanked all in attendance. 

Review and Approval of Agenda Motioned by AC and seconded by KB 

Approval of Previous Meeting Minutes The previous minutes from June 2025 (AGM) will be approved at the next meeting. 

Nomination and Voting of Treasurer - ES was nominated. All in favour. Welcome & thank you ES! 

Admin Report (Alfred) - Successful Pro-D day on Monday. This year’s focus as instructed by the District is to focus on literacy (reading comprehension, writing, communication, etc) - Alfred thanked the PAC for another great Welcome Back BBQ - the feedback from the staff was that it was a great environment for students, staff and families to connect - volleyball season has started - Our school is fully staffed now - Student body is full too (342 students, with just 1 spot left). There are 5 Lee catchment students on the waiting list too (no space in their respective grades) - Alfred to continue sending bi-weekly e-newsletters.

Chair Report (KC)

 - Constitution / Bylaws - some amendments to be made. KC to e-mail out in advance for voting at the October meeting

- Hot lunch update - Subway/Booster juice next week 

May be adding Premier Central Kitchen (caterer for welcome back BBQ) to the mix. TS and KC went for a tasting and think it could add some variety to our current offerings (ie. Japanese curry, ramen, butter chicken, etc.), and possible to provide larger portion sizes for intermediate students - re. Volunteers - usually enough but could always use more. Going forward, KC/TS to put out a reminder/call for volunteers closer to each hot lunch day 

- Fruit/veg/milk program update - delivering next week 

Treasurer’s Report (AC) 

- General account and Gaming Account balances provided to all in attendance. 

- KC reported that we have not heard back about the Gaming Grant yet but we should know by Sept 30, 2025. She will report back at the next meeting. 

- next PAC meeting (October) = budget meeting 

Fundraising Coordinators’ Report (KB/PC) 

- Received a $6800 cheque from Pedalheads. Definitely worth running again this year. KB will request another code and get clarification on how long we can run the campaign (ran Jan - June last year, but might be possible to start earlier to take advantage of winter camps too?) 

- KB will also reach out to Above and Beyond photography again. She received good feedback on last year’s family photo fundraiser and there seems to be enough interest to do it again 

- Possible new fundraisers for this year: - FundScrip (giftcard fundraiser) - KB to get more information 

- Golden Samosas - possible around Diwali this year? - KB to get more information 

- Bubble Tea fundraiser - PC to get more information 

- Native Shoes - SD to send KB/PC information to review 

- Family Bowling Night - DL to follow up with her contact from last year to confirm info and share with KB/C for review 

RDPA Update (TBC) - no update 

Roundtable Discussion 

- Welcome Back Event/BBQ debrief 

- Great vendors & turnout this year 

- KC and MF drew 8 prizes and will/have contacted the winners

 - Only note for next year - have larger bags for food distribution (hot lunch paper bags are too small for family orders) -

PAC WhatsApp communication channel 

- KB suggested that we review admin rights on our group chat and discuss if we want to restrict others from posting without approval from the admin (this would allow us to keep the focus on timely PAC news). AC to look into it and report back next week. PC also mentioned there are other platforms (ie. TeamLinked) that have separate places for chat vs. events etc. - AC reported that right now, the PAC Facebook group has more members than the PAC WhatsApp group (108 members vs. 65) - KB suggested that we send home a printed QR code for the PAC channels 

- Talent show - PC suggested that we host another Talent Show this year, but make it a PAC fundraiser (door by donation and concession). Alfred agreed to explore this idea with the UBC teacher candidates when he starts meeting with them. Idea is to have it in the spring again (May last year). PC also volunteered to bring the cheer team that she coaches to perform as special guests 

- Hybrid meetings and use of school laptop/device for such meetings - possibility for October. GA volunteered to bring a device, KC will follow up with DPAC re. Zoom account and password.

 - Sandwich board placement for meeting days - TS volunteered to put the board out in the mornings. SD to make a sign to put on a second board so we can place at the basketball court too 

- New items for discussion: TS asked about getting another bike rack installed - the ones we have are always very full. KC will talk to Alfred about the process. Could be PAC funded to expedite. 

- CC asked about the Grade 7 Grad committee. PC to lead this year and put out a call to parents when planning begins 

- AC asked about potential social activities this year (fundraiser or not) Pub Night? Movie Night - it was decided not to renew the license last spring as the turnout for the last 2 movie nights were not great Public skate? KB reported that we are currently on the wait list for Winter Wonderland (school #4) but we may still be able to rent ice (not winter wonderland) and have a regular family skate night AC suggested a Winter Fair at the school. GA suggested Christmas cookie decoration/family photos as part of this fair. To be explored further.
