Welcome and Introductions

KC called the meeting to order at 5:35 pm, Land acknowledgment, and

thanked all in attendance.

Review and Approval of Agenda

Moved by AC, seconded by GA. Carried.

Approval of Previous Meeting Minutes

Moved by AC, seconded by KB. Carried.

Nomination and voting of new Treasurer

A motion was passed to reinstate AC as Treasurer (previous Treasurer ES is now unable to fulfill duties), with MM possibly shadowing the role.
Carried unanimously.

Admin Report (Alfred)

  • Volleyball season wraps up next week with the McRoberts tournament. 
  • Planning is underway for the upcoming basketball season; options for team structure (boys & girls teams, co-ed team, open teams) will be explored with staff and students.
  • Winter Concert is scheduled for Thursday, December 18, with both afternoon and evening performances (times TBC). Students will also perform for one another + band will perform on Friday, December 19.
  • Provincial funding has been allocated to upgrade the PAC kitchen in anticipation of more use ie. a potential affordability lunch program. Upgrades include a dishwasher, stove with fan, and cabinetry. Admin has requested that they maximize appliance space (ideally fit 3 fridges). District will start work during winter break, starting with asbestos abatement. More info to come in terms of the programs and if/how this can affect PAC’s use of the kitchen or PAC initiatives. 
  • Intermediate students received a presentation from the TCO2 group on internet safety. A virtual adult session will be hosted for surrounding school communities in the new year. Details to come.
  • 3 options are being considered for sexual health education programming (need to decide by January):
    • i) bring back Saleema Noon - ~$1400 for 1.5 days (one session per grade). Feedback in the past has been that there is a lot of (maybe too much) info in a short amount of time. Could book more time, but it would cost more money
    • ii) bring in BC Sexual Health Learning - ~$3500 for more sessions spread out over a week (each grade gets 2 sessions). Content wise, they try to stick more to “health,” don’t go as far on the SOGI 
    • iii) have Lee teachers lead - Alfred will discuss and explore with staff to see their comfort level, resource needs, etc. 

Chair Report (KC)

  • Discussion took place regarding adding a Communications Coordinator role to the PAC bylaws. A draft description will be prepared and shared for adoption at a future meeting.
  • Hot lunch program updates are underway, including adding Premier Central Kitchen as a new vendor. Feedback regarding spicy menu items (Nando’s Peri Peri sauce) will be reviewed and updated on Munch-a-Lunch.
  • No updates for the fruit/veg/milk program.
  • The Grade 7 popcorn fundraiser went well. Suggestion for student leaders to arrive earlier for setup. Alfred to communicate this to the teachers.

Treasurer’s Report (AC)

- General account and Gaming account balances provided to members.

- A budget vs. actuals spreadsheet for 2024–2025 was shared and reviewed.

Fundraising Coordinators’ Report (KB)

  • Purdy’s and Fundscript orders close next week; pickup is scheduled for December 4.
    Purdy’s is currently tracking at approximately $300 in profit. A final reminder email from the office will be sent to help boost both campaigns.
    A new Pedalheads fundraising code is expected for January–June.
  • Planning is underway for the spring Family Photo Fundraiser with Above & Beyond again; dates requested are May 2 & 3, with the location to be confirmed (Minoru, City Hall, Steveston).

RDPA Update (DL/RG)

  • No update

Open Discussion

  • An opportunity may arise to host a workshop on screen addiction; further details will be shared when available.
  • Scholastic Book Fair volunteer support may be needed in the spring, timing will likely align with parent-teacher conferences. Interest was expressed by several members.
  • Options for an additional bike rack were reviewed. Costs via ULINE.ca are estimated at $750–$900 for racks with 7 - 9 bike capacity, plus tax, shipping, and district labour for installation. A suggestion was made to dedicate Prowl-a-thon proceeds to this initiative.
  • Walter Lee PAC has been offered a spot at the Winter Wonderland skating event at Minoru on December 12 (4:45–6:15 PM). The event will be treated as a community-building activity (not a fundraiser, though we could sell hot chocolate and/or candy canes). A motion to use the PAC Event/Treat-to-Be-Determined budget ($711) for this purpose was passed.
  • Interest in a potential school mural was discussed. Although a previous application through the City of Richmond’s Community Mural Project was not selected, there is openness to exploring other avenues. Cost estimates will be gathered.
